What sits outside the base fee

This is where the real spread between companies lives, and it is the part almost no Board asks about before signing.

Onboarding and initiation

A one-time charge to take over the association. Ranges from a couple thousand dollars to $30,000 depending on size and condition of the records.

Automatic annual increases

A fixed percentage, a CPI adjustment, or CPI plus a spread. Compounded across six or seven renewals this is often the single largest cost driver in the contract.

Per-meeting attendance

Meetings beyond an included allotment, plus after-hours surcharges. Boards that meet monthly in the evening are the most exposed.

Collection actions

Commonly charged per action. Rates vary enormously and are frequently passed to the delinquent homeowner rather than the association — ask which.

Resale and estoppel certificates

Statutorily capped in some states, uncapped in others. Usually paid by the seller, but it is association revenue being captured.

Technology and portals

Sometimes included in the base fee, sometimes billed separately to the association, sometimes billed to homeowners. All three exist.

Is your fee still right?

If your contract carries an automatic increase and your Board has never tested the market, one competitive round answers the question. It costs your association nothing.
